Position Summary:

OPERATIONS MANAGER / BROKERAGE TEAM LEAD (PORTLAND OFFICE)

ESSENTIAL FUNCTIONS

  • Serves as Operations/Office Manager for the Portland office and ensures the best-in-class support related to client deliverables, marketing, and project management
  • Supervises direct reports and is responsible for coaching, mentoring and developing the administrative professionals to reach full potential
  • Partners with HR and Operations to support recruiting and onboarding of new talent to the office
  • Drives marketing efficiencies and ensure optimal brand exposure
  • Perform business support function activities for Broker Lead
  • Maintains required competencies around all required software including, but not limited to, Adobe Creative Cloud (includes InDesign, Photoshop, Dreamweaver, Illustrator, Adobe Acrobat Pro), Microsoft Office suite, Dealio, CoStar, Blackbird, Google Earth, Exact Target, CRM, Spider, and others, as required.
  • Assists management with implementation of additional learning opportunities for self and team
  • Assists management with overall corporate culture, reward & recognition programs, mentor programs, events, and employee engagement initiatives
  • Assists with management office moves, adds, or changes
  • Maintains organizational charts and seating plans for the Portland market
  • Serves as main point of contact for coordination for the management of office infrastructure including, technology, facilities, telecommunications, emergency preparedness and business continuity planning. Maintain up-to-date technology policies
  • Communicates to management operational issues needing attention and provide recommendations for resolution
  • Participates in the on-going business planning and budgeting process in coordination with market leadership as requested
  • Assists management with coordination of  Portland Market and JLL national programs and initiatives
  • Attends departmental meetings as needed
  • Assists with the development and implementation of procedures and best practices to support business unit needs (brokerage, property management, project management, HR, research & finance)
  • Assists with miscellaneous office management and administrative tasks, as needed
  • Provide operational support and oversees office operations including managing staffing needs consisting of hiring, onboarding, training, goal setting, and performance management while providing leadership, decision making and support to upper management.
  • Interface, coordinate and manage infrastructure activity to meet business needs and complete projects and priorities.
  • Assume lead role on straightforward projects and/or managing one or several components on a large, complex projects.
  • Partner with Broker Lead to translate Leaderships business objectives into strategies and execute those strategies.
  • Recognize the broader implications of a project and identify all that should be done, not just what was assigned.
  • Independently execute a large number of complex, large and mid-size projects with a high level of proficiency and knowledge.
  • Coordinate office meetings and events.

EDUCATION AND EXPERIENCE
  • Bachelor’s Degree preferred, but not required
  • Minimum three years of business experience
  • Management experience – must have experience managing 3+ direct reports
  • Real estate industry support is a plus

  • Excellent letter/email writing ability including strong proofreading and editing capabilities

  • Develop effective and constructive solutions to challenges and obstacles with the ability to complete projects on time with diverse teammates
  • Demonstrate advanced proficiency in current Microsoft Office Suite 2010 applications (Word, Excel, PowerPoint and Outlook), as well as have the ability to command company specific software and databases.
